Role


· Manages the policies, objectives and initiatives in support of the data entry and analyst departments with dramatic seasonal changes.


· Is familiar with a wide range of information processing and staff organization techniques to meet objectives.


· Relies on extensive experience and judgment to plan and accomplish operational and productivity goals.


· Reports to the Director of the Administrative Operations.




Responsibilities


· Assigns, manages and delegates responsibility to the supervisor over the functional areas including: data analyst, data entry, data accuracy, data integrity and reporting, volume handling of paper, and production processes.


· Develops and instills quality standards in all Operations functional areas.


· Manages and develops training materials and conducts regular training sessions in all Operations functional areas.


· The ability to maintain and develop a high quality, high productive staff component.


· Review, revise, and develop process and procedures for best practices and process and efficiency improvements regularly. To make sure that all functional area team members follow process and procedures accurately.


· Reports and measures productivity numbers weekly and monthly of all functional area staff members to Management.


· Develops, enhances, and monitors measures and metrics regularly to enhance the quality and quantity of work for Operations.


· Manage staff and monitor the ability to meet tight deadlines as far as data being in the system, data being accurate, the correct decisions and judgment calls being made as to different scenarios involving client accounts timely.


· Able to communicate knowledgeably with programming and systems experts in regards to department needs or issues.


· Recommends required labor, equipment and other needs to fulfill the department’s business objectives.


· Reviews numerous reports tracking critical deadlines that are driven by appraisal districts in multiple counties.


· Recommends and manages changes needed in the software application(s) to help enhance productivity or processes.






Skills / Requirements Skills/Requirements


· 5+ years day to day management experience with information processing and staff organization techniques


· Knowledge of real estate and/or property tax protest process is a plus.


Requires a bachelor’s degree.


· 5-7 years of experience managing data entry or analyst type departments; managing administrative operations type roles


· Proven leadership, motivational abilities, coaching, mentoring, training, and developing all functional area staff members. The ability to drive others towards goals, success, and a positive working environment.


· Successfully manage staff and monitor the ability to meet deadlines.


· Excellent verbal and written communication.


· Superior knowledge of Microsoft Office, including in Word, Excel, and Access


· Strong organization, time management skills, and multi-tasking skills are required


· Strategic thinking and solid decision making capabilities.


· Ability to devote extra time as needed, particularly during the “peak” season of property tax (May - August).
